I’d address this directly to Shafiq, but I would change the tone from the earlier message. He has essentially offered you access to close to 100 ESG locations, so this needs to sound confident, organised and ready to scale, while still sounding like you.
I would also leave Jay out of this message now. Shafiq already understands that situation. The focus should be: here is why dealing directly with us will work, here is what I’ve built since we spoke, and here is exactly what ESG can expect.
Hi Shafiq,
I wanted to follow up properly on our conversation because I’ve spent a huge amount of time and money since we spoke getting everything into place to make direct ordering from us as simple, fast and reliable as possible for Exotic Snack Guys.
When we first spoke, you asked me two really important questions: can we handle orders in large quantities, and what are the timelines from placing an order to it reaching your stores?
The answer to the first is absolutely yes. We have the staff, systems and sourcing capacity in place to handle large-volume orders, including orders across multiple ESG locations.
In terms of turnaround, orders will be packed and dispatched within 24 hours of being placed, excluding weekends and public holidays. From there, transit to the US is generally around 4 days, subject of course to the carrier and customs.
I’ve also completely changed and streamlined the export side since we last spoke. We now handle the FDA Prior Notices, export documentation and shipping directly, and I’ve worked through the clearance issues we experienced previously so shipments can move through as smoothly as possible.
One of the biggest investments I’ve made has been in cold-chain shipping. We’ve spent thousands of dollars on high-quality thermal insulation, protective packaging and ice packs, with our new packaging designed to maintain temperature protection for up to 12 days. Your shipments should never take anywhere near that long, but I wanted that additional protection built in, particularly for Australian chocolate.
My goal is very simple: I want it right the first time.
Every product is individually checked before it leaves us, including Best Before dates, packaging and overall condition. We maintain a minimum six months Best Before wherever possible unless otherwise specified, and if something doesn’t meet our standards, I won’t send it.
I’ve been a Registered Nurse and Clinical Nurse Consultant for more than 20 years, so being ridiculously particular about details has finally found another useful purpose. That same attention to detail goes into what we send your stores.
We’ve also now officially launched our wholesale website:
This gives your stores a much easier way to see what is actually available and order directly from us. We have a huge amount of new stock coming through, not only Australian products but also UK and Asian lines, limited editions and new releases.
Our pricing is also all-inclusive. Shipping, duties and taxes are already included in the prices, so your operators know exactly what they are paying without unexpected freight or import costs being added afterwards.
Most importantly, Shafiq, I really want the opportunity to work directly with ESG and prove what we can do.
I know there have been some issues with previous orders and I take those seriously. I’m currently working through Farhana and Sufi’s credits and replacements, and I will make sure they are looked after. I don’t walk away when something goes wrong. If there is a problem with something I supply, I will work to make it right.
I’ve invested a huge amount into getting our export operation to this point because I genuinely believe we can provide ESG with an excellent direct Australian supply channel.
You mentioned that once you introduced us to the wider group we could potentially start receiving significant order volumes. We’re ready for that now.
I’d really appreciate the opportunity to show you and the rest of the ESG group what we can do when you’re dealing directly with us.
Thanks Shafiq,
Tara
